What we collect, why we collect it, and what you can do about it — written the way we'd want it written for us.

Who we are

The Renter's Playbook is a renter education and decision-support product operated by Noon Knows (Noon Knows LLC). You can reach a person at noon@noonknows.com. Our mailing address is 417 North 31st Street, Richmond, VA 23223.

This policy describes how the product actually behaves today. If we change how the product handles your information, we update this page and the "last updated" date.

What we collect, and why

  • Your email address. Accounts are passwordless — we email you a secure sign-in link, so an email address is the account. We use it to sign you in, to send reminders you asked for, and to answer you when you write to us.
  • A display name, if you set one. Optional, and only used to address you in the app.
  • What you tell Noon about your rental home. Rentals you're considering or living in, budget and priorities, lease dates, rent, situations you're dealing with, notes, and reminders you create. This is the information that makes personalized guidance possible instead of generic advice.
  • Documents you upload. Leases, notices, invoices, statements, photos — whatever you choose to add. See "Your private documents" below.
  • Your conversations with Ask Noon and the tool sessions you run (Lease Reviewer, Renewal Negotiation, Issue Resolution, Move-Out Charge Analyzer, Apartment Comparison), so your work is there when you come back.
  • Purchase and membership records. What you bought, when, how much, your membership status, your Playbook Points activity, and refund or cancellation requests.
  • Basic technical and usage information needed to run the service securely — for example counting requests to our AI features to prevent abuse and runaway cost. We do this using a one-way scrambled version of your network address, not a stored address.
  • Feedback you send us about whether a page or answer helped.

We do not sell your information. We do not use your rental information or your documents for advertising, and we don't send marketing email to renters who only signed up for reminders.

Your private documents

Documents you upload are stored privately and tied to your account. Access rules are enforced by the database itself, not just by the app screen — another renter cannot read your files, and neither can an unauthenticated request.

A small number of Noon Knows staff can access stored data when it's necessary to operate the service, investigate abuse or fraud, resolve a payment problem, or review a document you deliberately contributed. We don't browse renter documents for any other reason.

We don't put a time limit on your documents. While your account is active, they stay until you delete them or delete your account — we don't delete them on a timer, and deleting your account removes the private originals. If we ever introduce an automatic retention limit, we'll say so here first and give you notice before it applies.

AI processing

Ask Noon and the guided tools work by sending the relevant parts of what you gave us — your question, your rental details, and the text of documents you attached to that request — to a third-party AI model provider through our hosting platform's AI gateway. That processing is what produces the answer you asked for; there's no version of these features that works without it.

  • Only what's needed for the request you made is sent — not your whole account.
  • Answers are generated. They can be wrong or incomplete, and they are guidance, not legal advice.
  • We keep your conversations and results in your account so you can return to them, and you can delete them.
  • We don't control the AI provider's internal systems. We use enterprise AI infrastructure rather than consumer chat products, but we can't promise what a third party does inside its own service beyond its own terms.

Contributions: your private original vs. the anonymized copy

You may choose to contribute a document so that what it teaches can help other renters. When you do, two separate things exist:

  • Your private original. Yours. Stored privately in your account, and deleted when you delete it or delete your account.
  • An anonymized information copy. A separate copy with identifying details removed, reviewed before it's accepted, and used to improve guidance for other renters. It has no names, addresses, contact details, or file name from you, and nothing that connects it back to you.

Deleting your account deletes your private original. It does not withdraw an already-accepted anonymized copy, because you agreed it could be reused when you contributed it. Contributions still in review are deleted with your account.

Asking us to remove an accepted copy. Removal is a separate request, and you can make it any time from your contribution history in Membership & Points in My Rental: choose “Request removal” on an accepted contribution. Noon reviews the request. If it's approved, we delete that anonymized copy and stop using it going forward, and we keep only a short record that a removal happened on a date — not the content that was removed. We can't undo guidance that was already written or read before removal, so removal stops future use rather than erasing the past. Your private original isn't part of this request, and Points you already earned for the contribution are not taken back. You can see the status and outcome of your request in your contribution history, and you can always reach us at noon@noonknows.com.

Deleting your account

You can delete your account yourself from My Rental — Account Settings. Before you confirm, we show you exactly what's on the account and what happens to it. Deletion is permanent.

Deleted: your saved rental information, trackers, situations, reminders, reminder history, your uploaded documents, your tool activity, your contributions still in review, your remaining Playbook Points, and your sign-in identity.

Kept, no longer tied to you: payment, membership, refund, and cancellation records, reduced to what's needed for accounting and fraud prevention and stripped of free-text detail; and anonymized information copies from contributions you already had accepted. An active membership is cancelled first, so a deleted account can never be billed again.

How long we keep those minimized financial records: up to 7 years, where reasonably necessary for tax, accounting, fraud prevention, dispute resolution, and legal compliance — kept minimized, and only as long as we reasonably need them. That's a choice we make so we can meet our own tax, accounting, and dispute-resolution needs — it isn't a claim that the law requires every record to be kept for that long. Our payment processor keeps its own transaction records under its own terms.

Data export isn't available yet. If you want a copy of your information, email us and we'll help.

Reminders and email

The only email we send by default is what you need: your sign-in link, purchase and refund confirmations, and the rental reminders you set up. You choose which reminders you get and how far ahead they arrive, and you can change or turn them off any time in Reminders. Deleting your account stops all of it.

Payments

Payments are processed by Stripe. Your card details go to Stripe directly — we never see or store a card number. We keep the record of what you bought so we can honor it, support it, and refund it. See the Refund & Cancellation Policy.

Service providers we rely on

We use other companies to run the product: cloud hosting and database, file storage, an AI gateway and model provider, an email delivery provider, Stripe for payments, and services that fetch public rental-listing pages when you ask us to research a listing. They process information on our behalf so the features you use can work.

Children

The Renter's Playbook is built for adults renting housing. It isn't intended for anyone under 18.

Your choices, and questions

You can view and edit your rental information, delete individual documents, adjust reminders, and delete your account at any time from inside the app. Depending on where you live, you may have additional rights over your personal information. Rather than guess which rules apply to you, we'd rather just do it: email noon@noonknows.com with what you want — access, correction, or deletion — and a person will respond.
